This was followed by migration of the email server to Microsoft 365, hybrid operation as preparation for cloud-only, and finally a move to the cloud.

Frequently Asked Questions

What you should know before you inquire.

Answers to the most important questions about VERNETZT.DIGITAL, pricing, security, and services for businesses in North Rhine-Westphalia, Cologne, and the surrounding area.

VERNETZT.DIGITAL

What sets VERNETZT.DIGITAL apart from a traditional IT service provider?

You have a dedicated contact person who knows your IT—no rotating hotline staff. This is backed by more than a decade of IT experience with medium-sized companies, large corporations, and the KRITIS sector; a unified standard from proven manufacturers; a network of long-standing experts in IT security and audits; and transparent billing with a monthly list of services rendered. Your environment is documented in a traceable manner so that decisions remain transparent to you.

What types of companies and industries does VERNETZT.DIGITAL serve?

For small and medium-sized businesses, typically with up to 50 employees—either as a full-service IT provider or as targeted support for an existing IT team. Our experience spans nine industries—from family-owned businesses to large corporations, including healthcare & social services, logistics & the KRITIS sector, retail, architecture, and marketing & communications. The services are aimed at companies, self-employed individuals, and organizations.

Is VERNETZT.DIGITAL also suitable for small businesses with just a few employees?

Yes, especially so. The BASIC package is the entry-level option: routine tasks, monitoring, and one on-site visit per month; it can be expanded later. Even small teams are supported using the same processes as larger ones—to the extent that suits them.

Does VERNETZT.DIGITAL only serve companies in Cologne?

No. While our focus is on Cologne and the surrounding area, VERNETZT.DIGITAL operates throughout North Rhine-Westphalia. Nationwide, we provide on-site support or remote maintenance depending on the assignment.

Pricing & Collaboration

How much does IT support cost?

Support is available in three service levels: BASIC starting at €1,900, STANDARD starting at €2,800, and PREMIUM starting at €4,350 per month, each exclusive of VAT. The monthly flat rate consists of three parts: the service level, which includes response time, on-site visits, scheduled appointments, and secure remote access via dedicated, secured infrastructure; an allocation of support hours for regular testing and maintenance (a base cost incurred for every environment, plus a per-device portion); and a fee per supported device for monitoring, updates, and antivirus protection. The number of hours and devices covered for your setup is specified in the quote. Support is tracked down to the minute via the SupportIndex and billed per quarter-hour or portion thereof at the rate for your service level; quick inquiries under five minutes are free. Projects are billed on a time-and-materials basis, with licenses billed separately. The initial consultation is free and non-binding.

How does the collaboration work?

1. Initial consultation: Get to know each other, clarify your needs, and determine the next steps—free of charge. 2. Assessment: We assess the current situation on-site. 3. Proposal: A tailored package and projects, broken down in a clear and transparent manner. 4. Collaboration: Onboarding with documentation of your environment, followed by ongoing support with a monthly task list and regular coordination.

Can I also hire VERNETZT.DIGITAL for individual projects?

Yes. In addition to the packages, we offer projects and time-based assignments, such as a security check, a migration, a network overhaul, or training. We bill based on time and effort; we’ll discuss how quickly a project can be started during our consultation.

We already have an IT service provider—is it still worth having a conversation?

Yes. The free IT Pre-Check or a Security Check (a separate project based on a quote) will show you where you stand, regardless of who currently manages your IT. If you’d like to switch providers, we’ll plan the transition and document your existing environment first.

Security & Availability

How does VERNETZT.DIGITAL protect my IT from cyberattacks?

We start with a Security Check that identifies prioritized measures—as a standalone project based on a quote. Depending on your needs, we implement a firewall and network segmentation, endpoint protection, consistent patch management, clear access rights with multi-factor authentication, regularly tested data backups, and security awareness training for your team. For complex requirements, VERNETZT.DIGITAL collaborates with long-standing IT security experts as well as auditors who assess companies with high security requirements, including those in the KRITIS environment—ensuring that the auditors’ perspective is incorporated into the planning phase from the start. There is no such thing as absolute security. The goal is to significantly reduce risks and be prepared in the event of an emergency.

Does VERNETZT.DIGITAL offer an IT security check for small businesses?

Yes. The Security Check is an assessment of your IT security that provides clearly prioritized recommendations for action—it can be conducted as a standalone project based on a quote or as an introduction to our ongoing support services. For an initial overview, we offer the free IT Pre-Check, a self-assessment that does not constitute an audit.

How quickly does VERNETZT.DIGITAL respond to disruptions or a security incident?

The response time depends on the package: next business day (BASIC), 4 hours (STANDARD), or 2 hours (PREMIUM), during business hours. In the event of a security incident, use the “Report IT Security Incident” button on the right-hand side of the page (bottom right on mobile devices): It shows the first steps to take and provides a direct line.

Is VERNETZT.DIGITAL available around the clock?

No, there is no 24/7 on-call service. VERNETZT.DIGITAL is available Monday through Friday from 8:00 a.m. to 5:00 p.m. by phone, WhatsApp, or email; your request will be processed during business hours.

What happens during vacation or illness?

Absences are announced well in advance, and scheduled work is adjusted accordingly. A substitute is assigned for urgent cases.

Services & Technology

Can VERNETZT.DIGITAL take over our entire IT infrastructure—as a managed IT service?

Yes, operations are managed from a single source: workstations and end devices, servers and networks, Microsoft 365 and the cloud, data backup, security, as well as license management and updates. You’ll have a single point of contact for all IT matters; for specialized software, we’ll work together with the respective vendor.

Does VERNETZT.DIGITAL support Microsoft 365 and other cloud solutions?

Yes: We handle the implementation and support of Microsoft 365, including Exchange Online, Teams, and SharePoint, as well as Azure and hybrid environments that connect on-premises systems to the cloud. Workstations and end devices are managed via Microsoft Intune or NinjaOne, depending on the environment—with updates, software deployment, and monitoring all handled from a central console. We’ll coordinate with you to determine where data is stored.

Does VERNETZT.DIGITAL also handle the migration of existing systems?

Yes, such as servers and virtualization (Hyper-V, VMware), email and Microsoft 365, networks, or the cloud. Every migration is accompanied by a plan that includes a backup beforehand, a test phase, and a fallback plan; the migration is carried out at agreed-upon times to keep downtime to a minimum.

Does VERNETZT.DIGITAL offer IT consulting and outsourced IT management?

Yes: inventory analysis, roadmap, budget and timeline planning for licenses and hardware, management of external service providers and manufacturers, audit preparation, and temporary IT management (PREMIUM). The use of AI is also taken into account.

Which vendor solutions does VERNETZT.DIGITAL use?

The standard includes Microsoft 365 and Azure, Veeam for data backup, NinjaOne for device management and support, Sophos, Fortinet, CrowdStrike, and Check Point for security, Hyper-V and VMware for virtualization, as well as hardware from QNAP, Synology, HP, Dell, Fujitsu, Aruba, Extreme Networks, and NETGEAR. Existing systems from other vendors are integrated and phased in step by step.

Can I get certified through VERNETZT.DIGITAL?

Not directly. Certificates, such as those based on ISO/IEC 27001, are issued by an accredited certification body. VERNETZT.DIGITAL works with you and a partner from the auditing field to prepare you, implements the technical measures, and compiles the documentation—VERNETZT.DIGITAL guides you through the process leading up to the certification audit in close coordination with you.

Does VERNETZT.DIGITAL provide support for the use of AI?

Yes: Guidelines for working with AI as a team, implementation of Microsoft 365 Copilot and individually vetted tools, as well as hands-on training—ensuring that AI is used productively and thoughtfully.

How the Price Is Calculated

The monthly flat rate consists of three parts: the service level, which includes response time, on-site visits, a scheduled maintenance visit, and secure remote access via dedicated, secured infrastructure; an allocation of support hours for regular testing and maintenance work (a base cost incurred for every environment, plus a per-device portion); and a fee per supported device for monitoring, updates, and antivirus protection. The number of hours and devices applicable to you is specified in the quote. All prices are exclusive of VAT.

Support Hours

Support hours are scheduled work at your location: regular testing and maintenance tasks performed at fixed intervals. The allocation is estimated based on your environment and adjusted after three to six months to reflect the actual hours worked.

Support

Support is handled via the SupportIndex: Each support session is tracked down to the minute and billed per quarter-hour or portion thereof. Quick inquiries under five minutes are free; multiple inquiries regarding the same issue on the same day count as a single session; on-site visits are billed for a minimum of 30 minutes. You’ll receive a case list with your monthly invoice. The higher the package tier, the lower the support rate. Project support means: VERNETZT.DIGITAL coordinates IT projects with all stakeholders and reviews third-party proposals from a technical perspective—this is included in the support hours starting with the STANDARD package. Project management and implementation are billed based on actual time spent.

Outside the Flat Rate

Projects such as rollouts or migrations are billed on a time-and-materials basis, per quarter-hour or portion thereof. Travel without a flat rate: Travel time via the most direct route is recorded and billed to the nearest minute—including for on-site appointments. Third-party licenses and products are billed separately. The initial consultation is free of charge.

Term

Minimum term of 12 months, 3-month notice period prior to the end of the term, followed by automatic renewal for 6-month periods. The offer and contract terms are binding.

IT security incident? Here’s what to do now:

  1. Leave the power on! Do not shut down the system—otherwise, evidence will be lost.
  2. Disconnect the device from the network: Unplug the network cable.
  3. Turn off Wi-Fi.

Available during business hours (Monday through Friday, 8:00 a.m.–5:00 p.m.). There is no 24/7 on-call service. Outside of business hours, you can send a message via WhatsApp—the message will be reviewed the next business day.

General initial steps for guidance—these do not replace a case-by-case assessment and do not constitute an engagement. If you have cyber insurance, report the incident to your insurer as well; many insurers require this as the first step. Check for reporting requirements, such as to the data protection authority within 72 hours. If you suspect a criminal offense: Central Cybercrime Contact Point of the North Rhine-Westphalia Police.
